Write the decision and business case

Separate the governance record, business-case source and printable report.

Disqovr has three related but different surfaces. The Decision Record is the formal governance record and history. Business case is the editable, structured source. The printable business-case report is the read-only presentation and export built from that source plus live project evidence.

Before you start

• Select the intended winner and review comparison, vote, credit and commercial evidence before drafting a recommendation.

• Obtain a submitted winning proposal if the financial model should use implementation and recurring costs.

Step by step

1. Create the Decision Record

Open Decision and confirm the selected vendor. Write the accountable rationale and record the alternatives considered. Review the score summary and any credit warning; they provide evidence but do not write the decision for you.

2. Use AI drafting carefully

Where enabled, ask AI to draft the rationale or alternative reasons. Treat the output as a starting point, compare it with source answers and costs, remove unsupported claims and save the reviewed wording.

3. Open the business-case authoring source

Go to Business case to work through the 16 structured sections covering rationale, options, strategic fit, financials, risk and feasibility. Auto-filled suggestions remain editable and should be tailored to the approval audience.

4. Review the one-shot AI draft

Generate an AI draft if useful. Drafted sections are held separately so you can accept each one, dismiss it or accept all. Review every section before it enters the authored case, then edit and save normally.

5. Complete the financial model

In the ROI section enter annual benefit, the time horizon and, if used, a discount rate with its explanation. Submitted proposal costs supply implementation and annual recurring TCO. Review net annual benefit, payback months, horizon ROI and optional NPV.

6. Preview and export the report

Open the printable business-case report for the read-only presentation assembled from the authored case and current evidence. Print it or use the available PDF, Word or board-pack slide export for the intended audience.

7. Preserve the approved version

Return to Decision to review version history and any board deck. Once approved, the authoring surface is locked; withdraw and reissue approval if a material change must become part of the governing record.

What happens next

• Add the required approvers and send the Decision Record through the approval workflow.

• Use the printable report for distribution, but make substantive edits in Business case or Decision rather than editing exported files as the source of truth.

Troubleshooting

The ROI calculators do not show useful results

Confirm the selected vendor has one submitted proposal with implementation and recurring costs, then enter the annual benefit and horizon. Explain any discount rate used for NPV.

An AI section is missing from the business case

AI drafts remain separate until accepted. Open the draft review, accept the intended section, edit it in the authoring surface and save.

The business case is read-only

Check whether the decision is approved or pending in a locked workflow. Withdraw through Approval before editing, understanding that outstanding links and sign-offs will be voided.
