Plan delivery and contract handover
Capture executed terms, signed files and the handoff into the software register.
Deliver carries the approved selection into implementation without losing its commercial and governance context. It records the executed agreement, signed document and go-live information, then hands the winning software into the operational register.
Before you start
• Confirm the selected vendor and complete the required approval process before treating contract details as executed terms.
• Have the signed PDF or Word document and the agreed annual value, currency, term, start date and go-live date available.
Step by step
1. Review the sign-off recap
Open Deliver and confirm that the selected vendor and approval recap match the agreement being implemented. Stop if the contract names a different entity or materially different option.
2. Capture the contract terms
Enter annual contract value, currency, term in months, contract start, planned go-live and useful handover notes. A clear single submitted winning proposal can prefill fields, but compare every value with the executed agreement.
3. Attach the signed agreement
Upload the executed PDF or Word file in the contract area. Use the final signed version rather than a proposal or redline, and follow your organisation’s document-retention rules.
4. Save the operational handoff
When the decision is approved and has a winner, saving the contract makes sure the won software exists in the Register. Disqovr fills empty contract fields on that asset and does not overwrite register details someone has already maintained manually.
5. Set go-live and complete
Enter the actual go-live date when known. This unlocks Mark live & complete; use it only when the implementation has genuinely reached live operation, not merely when the contract is signed.
6. Continue into value tracking
After handover, use Determine in project Reports for implementation milestones, promise-versus-delivered tracking, post-launch feedback and outcome reporting. Maintain later renewal and ownership changes in the Register.
What happens next
• Open the created or updated Register asset and verify owner, contacts, renewal notice and lifecycle details.
• Set implementation milestones and generate the post-launch survey so value tracking starts while project context is still fresh.
Troubleshooting
Contract fields were not prefilled
Prefill requires a clear single submitted proposal for the winner. Enter the executed terms manually when proposals are missing, ambiguous or superseded.
Mark live & complete is unavailable
Confirm an actual go-live date has been saved and that required decision and delivery details are complete.
The Register asset has different contract details
The handoff intentionally avoids replacing existing manually maintained fields. Review the executed agreement and edit the Register asset explicitly if the operational record should change.
