Manage the team directory

Add members, resolve invitations and join requests, and maintain responsibilities.

Team is the workspace membership directory and access-maintenance surface. Everyone can see the directory, while admins add members, manage invitations and join requests, change roles and remove access. Project visibility remains a separate layer.

Before you start

• Confirm an available seat and select the least-privilege built-in or custom role that matches the person’s responsibilities.

• Decide whether to create the member directly or let them join through an invitation link; do not create duplicate accounts for the same person.

Step by step

1. Find and review members

Search by member details and filter the directory by role or activity. Open quick view to check the current assignment before changing access, especially when similarly named accounts exist.

2. Add a member directly

Admins can enter name, email and role, with an optional temporary password and forced password change. Use the email option when appropriate and verify that the seat limit allows creation.

3. Invite through a join link

Create an invitation when the person should complete their own account flow. Monitor Pending invitations, resend when the original message was missed and revoke links that are no longer valid.

4. Resolve join requests

Review requests from people using the recognised workspace domain. Check identity, role and seat availability, then Approve or Reject; a matching email domain is useful context but is not proof that access should be granted.

5. Maintain roles and finance scope

Change built-in or custom roles as responsibilities move. Toggle Finance reviewer only for members who should access credit work across the workspace. Define detailed custom permissions under Settings → Permissions.

6. Remove access promptly

Remove a member who no longer needs the workspace after transferring any operational responsibilities. Historical project evidence remains attributable; removing membership is not a way to erase recorded actions.

Treat Admin and workspace-wide Finance reviewer as privileged assignments. Grant them for responsibility, not convenience.

What happens next

• Add members to restricted projects, groups or locations separately where their work requires it.

• Run periodic access reviews covering inactive members, pending invitations, finance scope and privileged custom roles.

Troubleshooting

A member or request cannot be approved

Check seat availability, duplicate email membership and the request state. Revoke a stale invitation or correct the email before trying again.

A member has the right role but cannot open a project

Check project visibility, direct membership, groups and locations. A workspace role does not automatically grant access to every restricted project.

The finance reviewer cannot see expected credit work

Confirm the workspace-wide Finance reviewer toggle is saved, or assign the person as that project’s credit reviewer, then refresh the active workspace.
