Improve AI results with workspace and project context

Workspace AI context provides stable organisation-wide information. Project setup provides the changing need, success criteria, capabilities, drivers and incumbent context for one evaluation. Keeping both accurate improves every assisted workflow without repeating a long brief in each prompt.

Before you start

• Workspace AI context requires admin access; authorised project members maintain project context.

• Separate durable policy from temporary project evidence and avoid personal data that is not required for the task.

Step by step

1. Write concise workspace context

In Settings → Workspace, record what the organisation does, how it buys software, stable terminology, geographic or data constraints and preferred tone.

2. Complete project setup

In the project Setup flow, define the problem, success criteria, process area, business drivers, must-have capabilities, organisation context and approach.

3. Maintain the incumbent and evidence

Link the current software where relevant and keep surveys, requirements, vendor responses and scores in their normal project surfaces.

4. Ask a bounded question

Name the audience, decision and desired output. Ask the assistant to distinguish confirmed evidence from gaps or assumptions.

5. Correct the source, not just the answer

When an output exposes stale context, update Workspace or Project setup so future tasks use the corrected information.

What happens next

• Context is reused across eligible AI flows such as discovery, project creation, form generation, comparison and reporting.

• Project-specific records override general background when the two differ for that evaluation.

Troubleshooting

AI keeps using an old constraint

Update the workspace AI context or the relevant project field, then start a fresh assisted task so it loads current context.

Two projects receive nearly identical output

Strengthen each project’s problem, criteria, capabilities, drivers and audience instead of relying only on workspace background.

A field will not save

For workspace text fields, move focus out of the field and wait for Saved. Project changes may require the appropriate project role.
