Create surveys and collect stakeholder responses
Choose the right survey scope, build a draft and collect evidence from the intended audience.
Surveys collect structured feedback from stakeholders without making every respondent a full workspace member. The workspace Surveys page is the portfolio view for surveys you can access; a project’s Surveys page keeps work tied to that project. Start from the scope where the responses will be used, then build, publish and distribute the survey as separate deliberate steps.
Before you start
• Define the decision the survey should inform, the intended audience and how responses will be handled.
• Decide whether the survey belongs to one project or is a wider workspace exercise, and check permission to collect any personal data requested.
Step by step
1. Choose the survey scope
Open Surveys for the cross-workspace portfolio, or open Project → Surveys when the feedback belongs to one procurement. Creating from the project is the clearest way to preserve that context.
2. Create from blank or a template
Choose New survey, then start blank or select an eligible saved template. Give the survey a recognisable internal title; respondent-facing welcome text can be edited separately.
3. Build the questions
Add pages and questions, mark genuinely mandatory fields as required and configure response choices or conditional logic. Preview both the questions and the path a respondent will take.
4. Configure the journey
Use Settings for welcome, page, completion and report presentation options. Keep instructions short and explain how the response will be used.
5. Publish and distribute
Publish the finished draft, then invite named respondents or use an approved share link or QR code. A draft can be previewed but cannot collect live responses.
6. Monitor and close
Track response progress, send targeted reminders and close the survey when collection ends. Analyse the retained responses from the survey report and explorer.
What happens next
• Use named invitations when you need attributable progress and reminders; use a public link only when your response policy permits it.
• Create a new version for material question changes after launch so results remain interpretable.
Troubleshooting
A survey created from the workspace list is not where expected in a project
Check the survey’s project association. For project-specific work, create or open it from Project → Surveys.
Respondents cannot submit
Confirm the survey is published and open, the link is current and all required visible questions have valid answers.
The New survey action is unavailable
Check your workspace role, project membership and read-only state. Survey creation may also depend on workspace capabilities.
